1. Who we are

The Voxa AI Visibility Scanner ("the Service") is operated by SanReg Klaus Enterprises (Pty) Ltd, trading as Voxa Digital, a company registered in South Africa (Registration Number 2024/343047/07). Our registered address is 4431, PO Box, Krugersdorp, 1739, Gauteng, South Africa.

2. What information we collect

When you use the Service, we collect:

• Business details you provide: business name, website domain, industry, location, and email address
• Payment information processed on our behalf by Paystack (we do not store your card details ourselves)
• Scan results and reports generated for your business
• Account credentials (a securely hashed password) if you create a dashboard account

3. How we use your information

We use the information collected to:

• Perform AI visibility scans and generate your reports
• Process payments and deliver purchased services
• Send transactional emails (report delivery, password resets, payment receipts)
• Send occasional marketing emails about our services — you can unsubscribe from these at any time using the link included in every marketing email
• Maintain and improve the Service

4. Third parties we share data with

To provide the Service, limited information is shared with the following processors:

• Paystack — payment processing
• Resend — transactional and marketing email delivery
• OpenAI, Google (Gemini), and Perplexity — your business name and location are submitted to these AI providers as part of the AI Presence check, to determine whether they recommend your business

We do not sell your personal information to any third party.

5. Data retention

We retain your account and scan data for as long as your account remains active. If you hold a Monthly Optimization subscription and cancel it, your business data — including scan history, reports, and account details — is permanently deleted from our systems 14 days after your final paid billing period ends. We keep a minimal record that a deletion took place (containing no personal information) for our own audit purposes.

6. Your rights

Under the Protection of Personal Information Act (POPIA), you have the right to access, correct, or request deletion of your personal information. To exercise any of these rights, or for any privacy-related question, contact us at info@voxadigital.co.za.
